Prerequisites
· Supported manufacturer conferencing hardware.
· Compatible conferencing platform and room setup.
· Reliable network and power provision.
· Cameras, microphones, speakers, room controller and display hardware must be in vendor support and less than 5 years old.
· Hardware should be covered by a valid manufacturer warranty.
· Administrative access to conferencing platform and room device management where applicable.
Setup
· Room device setup and wiring validation.
· Camera, microphone, speaker and control device configuration.
· Firmware updates to latest stable versions.
· Network and account configuration.
· Platform integration with Teams, Zoom or other supported meeting system where included.
· Audio/video testing and room validation.
· User guidance and documentation of room configuration.
Maintenance
· Firmware and device health checks.
· Room equipment availability monitoring where supported.
· Audio/video quality review.
· Account and platform integration checks.
· Asset lifecycle tracking.
Support
· Troubleshooting audio, video and room join issues.
· Peripheral and controller issue resolution.
· Reconfiguration following room or platform changes.
· Vendor escalation and warranty coordination.
· User guidance for room conferencing use.
